The missed-lead problem

Customers move quickly. Your business day does not always let you.

A caller may try someone else after one missed call. A message can disappear beneath a day’s work. And when the same person contacts you on another channel, the context is usually lost.

While you are on-site

The phone keeps ringing.

The receptionist is designed to answer naturally, explain the recording process and gather a useful job brief.

After hours

The enquiry still matters.

Customers receive an immediate acknowledgement instead of waiting until the next business day.

Across channels

The story stays together.

Phone, SMS, WhatsApp and email interactions are matched to one prospect wherever possible.

Meet customers where they are

Four ways in. One organised conversation.

Each channel has its own rhythm. The receptionist keeps the brand, lead details and follow-up consistent.

Phone

Natural voice conversations capture the caller’s service, location, urgency and preferred callback time.

Powered by Twilio + conversational voice AI

SMS

Concise replies help customers take the next step without forcing them through a long form.

Fast, familiar and easy to continue later

WhatsApp

Customers can share richer details through the channel many already use every day.

Supports a consistent message history

Email

Longer enquiries are read, acknowledged and connected to the same lead profile.

Thread-aware and attachment-ready by design

Useful qualification, naturally

A conversation—not an interrogation.

The receptionist progressively captures what your team needs to prepare a quote or callback. It asks only for missing details and can pick up the conversation later.

  • Customer name and best contact details

The customer journey

Quick for the customer. Clear for the owner.

01

Recognise

Identify the receiving business and match the caller or sender to an existing prospect when possible.

02

Understand

Use the organisation’s services, service area and instructions to guide a natural conversation.

03

Capture

Store the message history and update the structured lead profile as new details emerge.

04

Handover

Score urgency, notify the owner and provide the context needed for a confident human response.

Practical guardrails

AI should reduce risk—not create another kind of risk.

The product architecture separates each business’s data and instructions, validates provider webhooks and retrieves credentials only from Google Secret Manager at runtime.

01

Tenant separation

Every record and query is scoped to the organisation.

02

No secrets in application files

Credentials are fetched at runtime and are not written to the database or control documents.

03

Australian compliance focus

Privacy, commercial messaging and call-recording requirements are included in deployment planning.

Common questions

What early pilot businesses usually want to know.

Will it replace my team?

No. It is designed to handle first contact and routine qualification, then give the right person a useful handover. Customers can still request a human.

Can it learn our services and service area?

Yes. Each organisation has its own controlled instructions, service catalogue, operating procedures and escalation rules.

What happens if the AI or a provider is unavailable?

The production design includes fallback handling, such as acknowledging text enquiries and capturing voicemail so the lead is not silently lost.

Is the product available now?

The foundation and first SMS workflow are under active development. Synagen is inviting a small number of service businesses to discuss pilot requirements.

A practical pilot starts with your real workflow: the calls you miss, the questions customers repeat, and the information your team needs before following up.
